Cutting customer onboarding from 2 weeks to 48 hours for a fintech client
A B2B fintech client's customer onboarding — KYC document collection, verification, and account provisioning — was taking an average of 2 weeks per customer, almost entirely due to manual back-and-forth over email. In an industry where speed to first transaction matters, that lag was costing them signups outright.
The client
A payments platform onboarding small and mid-size business customers, each requiring document verification (business registration, ID, proof of address) before their account could go live.
The problem
Customers submitted documents via email, a compliance analyst manually reviewed each one, emailed back if anything was missing or unclear, and the customer had to notice, respond, and resend. Each round-trip added 1-3 days, and most applications needed at least two rounds before approval.
The solution
We replaced the email intake with a guided upload portal that validates document completeness and basic quality (readable, correct document type, not expired) at the moment of upload — before it ever reaches a human reviewer. Automated identity verification checks run immediately via a third-party KYC API, and only genuinely ambiguous cases get routed to a human analyst, with a clear summary of what needs a second look.
If something's missing, the customer is told immediately, in the portal, instead of waiting for an email that might sit unread for a day.
The results
- Average onboarding time dropped from 2 weeks to under 48 hours
- Round-trips per application dropped from an average of 2.3 to 0.4
- Compliance analysts now spend their time on genuinely ambiguous cases instead of chasing missing documents
"We didn't realize how much of our onboarding time was just customers not knowing something was missing. Telling them instantly changed everything."
